2. What data we collect and why
Contact form
Through the form on this website we collect your name, company name, e-mail address, phone number and the content of your message.
Purpose: responding to your enquiry and conducting further business correspondence.
Legal basis: Article 6(1)(b) of the GDPR, covering steps taken at your request prior to entering into a contract, and Article 6(1)(f) of the GDPR, covering our legitimate interest in handling enquiries and maintaining business relationships.
Retention period: 36 months from the date of our last contact with you, unless a longer period is required for the establishment, exercise or defence of legal claims.
E-mail and telephone correspondence
Data you provide when contacting us directly by e-mail or telephone is processed for the same purposes, on the same legal bases and for the same retention period as data submitted through the contact form.
Contact via WhatsApp
If you contact us through our business WhatsApp number, we process your phone number, your profile name and the content of your messages, solely in order to handle that correspondence. The messaging service itself is provided by WhatsApp Ireland Limited, part of the Meta group, which processes this data under its own privacy policy.
Technical data
When you use this website, technical data is recorded automatically: your IP address, browser type, operating system, the date and time of your visit and the referring page. This data is used to ensure the security and correct operation of the website and is processed on the basis of our legitimate interest under Article 6(1)(f) of the GDPR.
Cookies
This website uses cookies that are necessary for it to function correctly, including cookies that maintain your session, remember your language selection and record your cookie preferences. These are processed on the basis of our legitimate interest under Article 6(1)(f) of the GDPR and cannot be disabled without affecting how the site works.
We also use analytics and marketing cookies, which help us understand how visitors use the website and measure the effectiveness of our communications. These are used only after you give your consent through the cookie banner, on the basis of Article 6(1)(a) of the GDPR. You can withdraw your consent at any time by changing your cookie settings or clearing cookies in your browser. Withdrawal does not affect the lawfulness of processing carried out before it.
3. Recipients of your data
We do not sell your personal data and we do not share it for the purposes of third-party advertising.
Your data may be entrusted to entities that process it on our behalf, under written data processing agreements. These fall into the following categories:
providers of hosting and technical maintenance of the website
providers of e-mail and office software, including Microsoft Ireland Operations Limited
providers of analytics and marketing tools, where you have consented to their use
providers of customer relationship management and business communication systems
our legal and accounting advisers, to the extent necessary for the services they provide to us
Your data may also be disclosed to public authorities and other entities entitled to receive it under applicable law.
Transfers outside the European Economic Area
Some of the providers named above belong to corporate groups established in the United States. Where your data is transferred outside the European Economic Area, we ensure that the transfer takes place on the basis of a European Commission adequacy decision, including the EU-US Data Privacy Framework, or on the basis of standard contractual clauses approved by the European Commission, together with any supplementary safeguards required.

4. Your rights
You have the right to:
access your personal data and obtain a copy of it
have inaccurate or incomplete data rectified
have your data erased
request restriction of processing
receive your data in a structured, commonly used format and have it transmitted to another controller
object to processing carried out on the basis of our legitimate interest
withdraw your consent at any time, where processing is based on consent, without affecting the lawfulness of processing carried out before the withdrawal
To exercise any of these rights, write to contact@safewave.ai. We will respond within one month of receiving your request. If your request is complex, we may extend that period by a further two months, in which case we will inform you of the extension and the reasons for it.
You also have the right to lodge a complaint with the supervisory authority. In Poland this is the President of the Personal Data Protection Office, Prezes Urzedu Ochrony Danych Osobowych, ul. Stawki 2, 00-193 Warsaw.
5. Whether providing your data is mandatory
Providing your data is voluntary, but it is necessary for us to respond to your enquiry. Without an e-mail address or a phone number we will not be able to contact you.
6. Automated decision-making
Your personal data is not used for automated decision-making, including profiling that produces legal effects concerning you or similarly significantly affects you.
7. Security of your data
We apply technical and organisational measures appropriate to the risk involved in processing, including encryption of data in transit using TLS, control of access to systems on a least-privilege basis, regular review of access rights, and processing agreements with all of our service providers.
8. Changes to this policy
We may update this policy, for example when we change the tools we use or the way we process data. The date of the most recent update appears at the top of this page. If the changes are material, we will announce them on our homepage.
